Job description

The American Philosophical Association (APA), the premier professional organization for philosophers in North America, seeks a full-time membership coordinator based at the APA's headquarters on the campus of the University of Delaware.

Under the general direction of the executive director, the membership coordinator performs a full range of member services, communication, records management, data analysis, fiscal, and administrative activities for the APA. The principal emphasis is on overseeing all operations within the APA membership department, including oversight of the departmental budget; coordinating and collaborating extensively with other APA departments; maintaining membership records and analyzing membership data; providing public relations and member services; reviewing and updating internal and external policies and procedures related to membership department operations; and supervising student and miscellaneous wage workers within the department. A high level of independent judgment is required.

Major Responsibilities

  • Administers the day-to-day operations of the membership department, identifying and resolving problems with appropriate actions. Provides independent judgment to resolve member inquiries, concerns, and complaints. Communicates with all other departments and divisions to coordinate prompt resolution of member inquiries and implementation and enforcement of membership policies.
  • Formulates, recommends, implements, and monitors administrative policies and procedures within the membership department. Configures and maintains the association management system to ensure compliance with established policies and procedures.
  • Maintains all membership records for the association, including both current and historic records management. Maintains the membership database and other membership department records systems. Organizes and analyzes membership data and prepares statistical and narrative reports and graphs for internal and external use; presents analysis to board of officers and other relevant groups; researches, recommends, and implements new policies and initiatives based on data analysis.
  • Oversees and manages the membership department budget. Tracks revenue received from dues, donations, and other membership transactions; reports on membership revenue trends to executive director and board of officers. Researches, recommends, and implements new policies and initiatives to ensure budget goals are met. Assists the board of officers with regular reviews of membership dues structures and offerings, researches and recommends revisions to the association’s dues schedule, and implements dues structures as set by the board of officers.
  • Hires, trains, and supervises miscellaneous wage employees and student workers in the membership department.
  • In collaboration with marketing and communications staff, organizes membership promotion and marketing strategy and activities. Researches, recommends, and implements changes to membership benefits offerings and coordinates membership-related communications across all media, including electronic and direct mail. Markets and provides membership lists to third-party advertisers. Maintains and updates membership-related pages and applications on the APA website.
  • In collaboration with the publications coordinator, oversees the publication of member lists, member obituaries, and member resources. Advises the executive director and board of officers on the development of new resources for members.
  • Assists the executive director in facilitating, expanding, and enhancing the membership services provided by the APA. Builds and develops relationships with institutional administrators, members, and other philosophical groups and societies, serving as a liaison to outside institutions and groups as appropriate. Assists members, non-members, and institutional administrators with membership processes and transactions.
  • Oversees all membership operations at APA divisional meetings, including attending meetings to provide on-site member services. In collaboration with the meeting coordinator, divisional secretary-treasurers, and executive director, plans and implements on-site membership services strategy. Assists with other on-site meeting operations as needed.
  • Performs other related duties as assigned.

Qualifications

  • Bachelor’s degree and two years’ experience related, or equivalent combination of education and experience.
  • Experience in records management and/or member relations in a nonprofit or academic environment preferred.
  • Outstanding customer service skills.
  • Effective written and verbal communication skills. Experience in marketing communications preferred.
  • Ability to communicate and interact well with people of all ages and diverse backgrounds.
  • Ability to work both independently and as part of a team.
  • Ability to organize, analyze, and interpret data and present results to diverse audiences.
  • Ability to make independent decisions, judgments, and recommendations.
  • Experience with association management software packages, preferably YourMembership.com.
  • Proficiency with Microsoft Office software, particularly Word, Excel, and PowerPoint, required. Proficiency with web editing tools and social media is preferred.

Special Requirements

  • Some business travel required.

  • Benefits: This is a benefits-eligible position. Benefits offered through the University of Delaware.
  • Grade: 28E
  • Salary: Commensurate with experience, in accordance with University of Delaware compensation guidelines.
